Privacy policy

Fit City Events (“we”, “us”) (ABN 87859843750) is committed to protecting your privacy. This policy explains how we handle personal information for the Shepparton Running Festival, in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. Last updated 2026.

What we collect

Depending on how you deal with us, this can include your name, email address, phone number and emergency contact when you register. Payments are handled by Race Roster, so we do not store your card details. We may also collect volunteer details, contact enquiries, and basic website data that does not identify you, such as browser type and pages viewed.

How we use it

We use your information to process race entries, send event updates, coordinate volunteers, answer enquiries and, if you have opted in, send marketing about future events. No automated decisions that significantly affect you are made using your information, and none are planned.

Who we share it with

Your information is processed through Race Roster (registration and payments), MailerLite (email updates), RaceResult (timing and results) and Netlify (website hosting and the contact form). Some of these providers store data outside Australia, and we take reasonable steps to make sure it is protected consistently with the Australian Privacy Principles. With your consent, email addresses may be shared with sponsors and partners for marketing. We never sell your personal information.

Keeping it secure

We use reasonable technical and organisational measures to protect your information, including restricting access to our platforms and relying on the security practices of our providers. If a data breach is likely to cause serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) under the Notifiable Data Breaches scheme.

Access, correction and deletion

You can ask for a copy of your information, ask us to correct it, or ask us to delete it where it is no longer needed, you have withdrawn your consent, or it was collected unlawfully. We will respond within a reasonable timeframe.

Cookies and analytics

We use standard analytics tools to understand website traffic. These do not identify individuals, and you can manage cookies through your browser settings.

Changes to this policy

We may update this policy from time to time, including for changes in the law. The current version is always on this page.

Complaints

Please raise any concerns with us first. If they are not resolved, you can lodge a complaint with the OAIC at oaic.gov.au.
